Users & Roles

Control who can access your TMS and what they can do. Optrix TMS uses a role-based permission system with three account types.

Account types

Staff

Office team members who manage orders, shipments, invoices, and reports. Full access to the TMS based on their role.

Driver

Internal drivers. Access is limited to their assigned jobs — they can update delivery status and upload PODs.

Carrier

External carrier partners with a login. Can view and update shipments assigned to them.

Staff roles

RoleDefault access
AdminFull access to everything including settings, user management, and all reports.
ManagerAccess to all operational modules (orders, shipments, invoices, reports). Cannot manage users or change company settings.
StaffAccess to orders and shipments. No access to invoices, reports, or settings by default.
AccountantAccess to invoices, payments, and financial reports. No access to operational modules.

Inviting a user

  1. Go to Settings → Users and click Invite User.
  2. Enter the person's email address.
  3. Select their Account Type (Staff, Driver, or Carrier).
  4. For Staff, select their Role (Admin, Manager, Staff, or Accountant).
  5. Click Send Invite. They receive an email with a link to set their password and log in.

Customising permissions

Each role comes with default permissions, but you can adjust individual permissions per user. Go to Settings → Roles to see and edit what each role can access. Changes apply to all users with that role.

To give one specific user different access from their role, open their user profile from Settings → Users and adjust their individual permissions.

Tip: Give new staff the Staff role initially and expand their access once they are familiar with the system. It's easier to add permissions than to recover from an accidental deletion.
Admin access: Only give the Admin role to people who truly need it — Admins can change company settings, manage billing, and delete records permanently.
