Driver Pay

Work out what each driver has earned from their delivered loads, add deductions and reimbursements, then approve, pay and print a statement.

Before you start

Set a pay type and rate on each driver in Drivers:

Pay typeHow it is calculated
Per kilometreLoad distance in km × rate.
Per mileLoad distance in miles × rate.
% of load revenueRate % × the total charges billed on the load's shipments. If nothing is billed yet, the load's total cost is used instead.
Flat amount per loadThe rate, once per load.

Where the distance comes from

  1. The load's Distance (km) field, if you entered one.
  2. Otherwise, the driver's GPS trail from the app. Poor GPS readings and parked jitter are ignored.
  3. Otherwise, an estimate: the straight-line distance between the origin and destination coordinates × 1.2. The line is marked as estimated so you can correct it.

Creating a settlement

  1. Go to Driver Pay → New Settlement.
  2. Choose the driver and the period (from and to dates), then click Find loads.
  3. Optrix lists the driver's delivered loads in that period that aren't already on another settlement, with the calculated earning for each. Untick any you want to leave for later.
  4. Click Create draft settlement.
  5. On the draft, add reimbursements (for example tolls or fuel paid by the driver) and deductions (for example advances). You can also remove a load line; that load can then go on a later settlement.
  6. Click Approve. An approved settlement can't be changed. Click Reopen if you need to edit it again.
  7. After paying the driver, click Mark as paid and enter the payment date and an optional reference.

Pay statement

Every settlement has a PDF statement for the driver. It lists each load and route, the quantity and rate, reimbursements, deductions, and net pay.

Who can use Driver Pay? It uses the same permissions as Invoices (view, create, edit and delete invoices). The Driver Pay list shows totals for approved but unpaid settlements, grouped by currency.
