Drivers & Vehicles

Keep one record per driver, covering both your own drivers and your subcontractors' drivers, and one record per truck, van or trailer.

Company drivers and carrier drivers

Company driver

Employer is "Our company". Can be put on any load. Usually paid through Driver Pay.

Carrier driver

Works for a subcontracted carrier. Can only be put on that carrier's loads. Paid by the carrier.

Adding a driver

Drivers are created in one place only: Drivers → New Driver. You can also start from a carrier's page; its Drivers card opens the same form with the employer already filled in.

Field	Notes
Full name	Required.
Employer	"Our company" for a company driver, or one of your carriers.
Mobile phone	Shown on the load so dispatch can tap to call.
Licence number / expiry	Expired licences, and licences expiring within 30 days, appear as alerts on the Dashboard and on the load.
Driver active	Inactive drivers can't be put on new loads, and their login is disabled. History is kept.
Pay type & rate	Per kilometre, Per mile, % of load revenue, or Flat amount per load. Optional pay currency.
Login	Optional. Tick Create a login for this driver, then set their email and password.

Driver logins

A driver with a login can use the Optrix Driver app and the Work Portal. Driver logins don't count against your plan's user seats. Changes to name, phone, employer and active status carry over to the login automatically. Drivers can reset their own password from the sign-in page.

Where drivers appear: in the load's Driver list (📱 = has an app login), on the shipment's "Our own driver" assignment, on the carrier's Drivers card, and in Driver Pay.

Finding drivers

The Drivers list can be searched and filtered by employer (all, company drivers, or a specific carrier) and by active or inactive status.

Vehicles

Vehicles belong to a carrier. Add them from the Vehicles card on the carrier's page. For your own fleet, add your own company as a carrier.

Field	Notes
Plate number	Required, and unique within each carrier.
Type	Truck, Van, Trailer, Container or Other.
Make / Model	Optional.
Capacity	Weight (kg) and volume (m³). Shown on the load's Driver & Vehicle card.

When you pick a carrier on a load, only that carrier's vehicles are offered.
