How to run your freight operation in Optrix TMS — from taking a customer's order to delivery, invoicing and paying your drivers.

What is Optrix TMS?

Optrix TMS is a cloud Transportation Management System for freight forwarders, brokers, trucking companies and carriers in the United States, Canada, the United Kingdom and India. Each company gets its own private workspace at yourcompany.optrixtms.com. Tax fields, regulatory IDs and documents follow the home country you choose in Settings.

How work flows

1. A customer books a job and you create an Order.
2. You Dispatch the order to a carrier (your own fleet or a subcontractor). This creates a Shipment for the customer side and a Load for the carrier side, already linked.
3. You assign a driver and vehicle to the load. If the carrier is a subcontractor, the carrier accepts the job and assigns its own driver in the Work Portal.
4. The driver starts the trip in the Optrix Driver app, which shares GPS with dispatch and with the customer's tracking link.
5. At delivery, the driver captures a photo and/or signature. The load, shipment and order are marked delivered automatically.
6. You Generate Invoice from the order, record payment, and pay the driver through Driver Pay.

Quick start

1. On your first sign-in, a two-step workspace setup asks for your company details, contact email, home country, time zone, currency, date format and units. You can change any of it later in Settings.
2. Add your customers in Contacts, and save regular pickup and delivery points in Locations with their coordinates.
3. In Carriers, add your own company as a carrier for your fleet, plus any subcontractors. Add vehicles and rate cards.
4. In Drivers, add each driver. Turn on an app login for drivers who will use the Optrix Driver app.
5. In Users, add your office staff and give each one a role.
6. Create an Order, Confirm it, then Dispatch it.
7. On the Load, assign the driver and vehicle. Send the customer the tracking link from the Shipment.
8. After delivery, Generate Invoice from the order.
